Sponsor Name Badges & FAQs

UPON ARRIVAL - Unloading your Booth: You may set up your booth anytime Thursday morning and will need to be set by 3:00pm. You can pull right up to the outer doors of the Granite Ballroom to unload booth supplies.

We will have student volunteers on hand to help you unload from your vehicles and then transport your supplies to your booth.

Booth Supplies: We do NOT have a Freeman or third party contractor for booths this year. There will be central power points run among the booths for all to plug into. If you need anything beyond a basic outlet, please order your electricity through the hotel. All booths will come with a table, two chairs, trashcan and tablecloth. The ballroom is carpeted. You may add flooring to your booth, but we don’t feel it’s a necessity.

Booth Numbers/Locations
are all listed in the Symposium brochure and on your invoices. These numbers and layouts take precedence over anything else you’ve received previously. All maps are included within the program as well.

Extra Name Badges: Each sponsorship (except Platinum) comes with 2 sets of name badges. Extras may be purchased at $500/ea. We do not limit the number of representatives per company, but everyone must be badged. To order extra badges, please submit an email to info@texasequineva.com and we will invoice you for them. They must be paid in full prior to arrival at the Symposium.

Thursday Night MERCK - DECHRA Welcome Reception will be held in the Whitewater Sports Bar and Putting Course from 6:00PM-8:00PM. This will be light appetizer style food and a bar. We will be playing the Putting Course in a shotgun style format. We will have hole sponsors throughout the course. Sign up for a Putting Tournament Team at the Registration Desk when you get there. No pre-registration required. The reception will end at 8:00PM so if you would like to take clients out to dinner afterwards, this is your chance to do so! We do ask that you kindly stay until 8:00PM.

Friday Foundation Gala: The Gala will start at 7:00PM on Friday night. We would appreciate your support in getting everyone to stick around for the Gala on Friday night. This is our largest Foundation fundraiser of the year and it’s very important to us.

2025 Symposium Tradeshow Hours
Wednesday, July 30:
3:00PM-5:00PM: Registration Desk Open for Sponsor Check-In and Booth Set-Up at the TEVA Registration in the POST OAK ROOM. You may unload your vehicle in the circle drive outside of the Granite Ballroom (conference side of the hotel, not directly in front of the hotel lobby area. We will have students on hand to help you.)

Thursday, July 31:
7:00AM-12:00PM: MG BIOLOGICS Golf Tournament - Slick Rock Golf Course - Registrations required to play.
7:00AM-12:00PM: TEVA Fishing Tournament - Registration Required
9:00AM-3:00PM: Sponsor Check-in and Booth Set-Up at the TEVA Registration Desk, Granite Ballroom
*Veterinarians will be in lectures starting at 12:30pm
3:00PM-3:30PM: TRADESHOW OPENS for First Break
3:45PM-4:15PM: Sponsor and Exhibitor Meeting in POST OAK ROOM
6:00PM-8:00PM - Welcome Reception & Putting Tournament, Held at the Whitewater 360 Sports Club Putting Course

1:00PM-2:50PM - We will hold the SURGERY PANEL in the Granite Ballroom (Tradeshow) from 1:00PM-3:00PM. Sponsors are welcome to sit in and listen, but we ask that you be considerate of the sound level during this session.
3:00PM-3:30PM - Tradeshow Open
3:30-5:30PM: We will hold the TEXAS TAKES in the Granite Ballroom (Tradeshow) from 3:30PM-5:30PM. Sponsors are welcome to sit in and listen, but we ask that you be considerate of the sound level during this session.
7:00PM-10:00PM - Texas Equine Foundation Gala in the Tower Palm Pavilion

Saturday, August 2:
10:00AM-10:30AM - Tradeshow Open
11:30AM-1:00PM - State of TEVA Lunch in the Tradeshow (Open)
1:00PM - Tradeshow Closes
Sponsors/Exhibitors may break down their booths at 1:00PM on Saturday.

Registration Bags: If you have items to add to the registration bags, please ship them directly to the hotel and email us to let us know to look for those items. We are planning for 200+ registration bags. You may also supply an additional 75 items for the student volunteer’s welcome bags. These need to be labeled as registration bag filler and delivered to the HOTEL by July 29th.

Estimated Attendance: 200 veterinarians, 50 technicians, 75 student volunteers, 70 vendors

Auction Items: Thank you so much for considering donating an item to our Auction. If you have your item prepared ahead of time, please help us by filling out this form, with details about the item.

2026 Booth Selections will be made AFTER this Symposium.

Shipping: When shipping to the hotel, please add TEVA in the “to” line along with your name. It will be delivered to the Post Oak TEVA office. The hotel will receive packages one week ahead of the meeting and MAY CHARGE ADDITIONAL FEES for handling shipments.
